Administration

Configure employee organization data and automatic IDs

Maintain departments, career levels, pay levels, countries and facilities in one place.

How to do it

  1. Open Administration → Employees → Organization setup. Configure the employee ID pattern, prefix, sequence digits and minimum sequence number. Use one {SEQ}, with optional {PREFIX}, {YYYY} or {YY}. Issued numbers stay fixed.
  2. Create departments, career levels and pay levels in the Organization directory. These become employee dropdown choices. Existing employee values are retained as legacy options during migration.
  3. Create each facility with its unique facility code, country, matching state or province and address. Countries and subdivisions use the country-region-data reference dataset.
  4. Authorized HR managers can create employees in SupaPeople → Directory or Administration → Employees. People management permission is sufficient; user-account administration is not required. Choose the department, levels, country, state and facility. The facility list follows country and state. The server allocates the employee ID on save.
  5. A BU account with the same work email is associated automatically. Employee-only accounts sign in with an emailed code; linked BU accounts use BU sign-in. Change employment status to Inactive, Resigned or Offboarded when appropriate. Individual employee deletion is not available.

Check your result

Two simultaneous creations receive distinct employee IDs. Editing the employment status does not change the issued ID or remove history.

Good to know

Service queues route employee support requests in People → Tickets. They are separate from departments and are no longer assigned in the employee identity form.
