Configure onboarding, resignations and employee documents

Manage required documents and record the full resignation approval sequence.

How to do it

  1. Open SupaPeople → Lifecycle & documents → Setup with People management and sensitive-record access. Configure required onboarding and offboarding documents, the resignation HR manager, founder approver, notice period and former-employee access.
  2. Keep each employee’s reporting manager current in Directory. New employees receive an onboarding checklist using the requirements that apply to their department. Start a checklist manually for an existing employee.
  3. Employees open Documents in their portal and upload the files required by their checklist. HR reviews each file and either approves it or requests a replacement.
  4. An employee submits a resignation from Documents → Resignation. The assigned manager, HR manager and founder approve in that order, each with a recorded note. All three approvals are required before the system opens offboarding and marks the employee Resigned.
  5. After the confirmed last working day, HR approves all required offboarding documents and completes the checklist by confirming the employee email. Staff sessions are revoked and a linked BU account is disabled.
  6. For company documents, employees request the document and period in Documents → Company documents. Authorized HR uploads the file to that employee’s record and can email a secure portal notification.

Check your result

Each approval and document review appears in the audit trail. Private employee documents are available only to the employee and authorized HR within scope.

Good to know

When former-employee access is enabled, former employees can retrieve released payslips and company documents through their registered email. They cannot return to staff workspaces.
