Issue refunds and reusable credit notes
Allocate an inspected return without exceeding its refundable value.
How to do it
- Open a received return and enter an amount under Refunds & credit allocation.
- Choose a refund method or Credit note. Pending records reserve their amount so another operator cannot allocate it again.
- Have a different authorized reviewer approve when policy requires it.
- For bank, cash or external refunds, record a verified payment reference. Cash requires an open drawer in the original channel and currency. For Stripe or Razorpay, use Request provider refund and refresh or reconcile its status.
Check your result
A provider response of Pending or an unconfirmed network result does not mark funds refunded. An issued credit receives its own code, expiry, customer, currency and remaining balance.
Good to know
A return can have multiple separate refunds and credit notes. An unused active credit may be refunded through its own record; spent credit cannot be refunded again. A failed gateway request must be reconciled before its reservation can be cancelled.
